Regulations for Exhibitors

Admission

The exhibition is open only to visitors and companies in relevant industries, subject to the following regulations:The exhibition is for business visitors and industry professionals only.
Visitors not from relevant industries and children under 18 years of age are not allowed in the exhibition area.
When visiting, please bring your invitation and business card for entry.
All visitors must be dressed modestly; visitors wearing shorts or slippers will not be admitted.
The organizers reserve the right to refuse entry to any visitor deemed unsuitable without providing reasons.
Visitors are not allowed to take photos or videos in the exhibition area.
No smoking in the exhibition area.
This regulation also applies during booth setup and dismantling. For safety reasons, children under 18 are not allowed in the exhibition area at any time, from setup to dismantling.

SALES DURING EVENT

Exhibitors are not allowed to sell products during the exhibition. If any violations are found, the Organizing Committee reserve the right to terminate such activities and take appropriate measures.

Product Demonstrations & Presentations

The organizers welcome exhibitors to engage in interactive activities with visitors. However, exhibitors should be careful to avoid disturbing surrounding exhibitors. Speakers/projectors must be directed downwards and towards the booth, not towards the aisles or other booths. Volume must be adjusted to not exceed 70dB.

The organizers may require these activities to take place within specific time slots, with the consent of the participating exhibitors, to ensure they are carried out effectively and achieve the company’s objectives. Exhibitors should also consider the location and space for visitor participation during demonstrations or test operations, to avoid blocking aisles or obstructing the view of other booths.

ANIMALS

Except in cases where prior permission has been obtained, animals or pets are not allowed in the exhibition for promotional or performance purposes.

PromotionAL activities during event

Exhibitors are not allowed to post stickers, signs, banners, or other advertising materials outside their booth, except in areas designated by the Organizing Committee and with applicable fees. Similarly, exhibitor staff are not permitted to distribute leaflets, invitations, or other materials along aisles, near the entrance/exit, dining areas, restaurants, or public areas of the exhibition, in order to avoid disturbing other exhibitors and visitors. All such activities must be conducted within the booth.

SPECIALIZED VEHICLES AT THE EXHIBITION

All types of personal vehicles in general such as Segways, roller skates, bicycles, skateboards, or other wheeled vehicles are prohibited in the exhibition area.

Power Supply and Lighting

Power supply:

– 3 phase 4 wire, 380 volts ±10%

– 1 phase 2 wire, 220 volts ±10%

50Hz frequency within +/- 10-15%

Power factor: Phase shift not less than 0.85 lagging

The above regulation goes with the following parameters:

a. Engine starting: All engine machines must have independent automatic protection against overload hazards using the following starters:

– i. Equipment up to 5 HP: Direct start

– ii. 5 to 25 HP: star – triangle.

– iii. Over 25 HP: Automatic transformer

b. All electrical installation connections from the exhibitor’s main source must be made by the Organizing Committee’s official contractor.

c. Exhibitors must connect their transformers and voltage stabilizers to their exhibition equipment and notify the Organizing Committee in advance.

d. All electrical equipment pulled from the Organizing Committee’s source must be inspected by our staff before turning on.

Floor Loading Capacity

Floor loads are regulated by the building and must be adhered to. However, in specific cases, if approved by the building, equipment exceeding the weight limit may be arranged separately, including placing steel plates underneath. The Organizing Committee will schedule a separate time for transporting large or heavy items. Please contact the Organizing Committee for details.

MACHINERY OPERATION AT THE EXHIBITION

a. Operation must use specialized safety devices. These devices can only be removed when the machine is switched off.

b. Operating machinery must be located at a safe distance from visitors. We encourage companies to have security guards on duty at these locations.

c. All pressure vessels or high pressure equipment must comply with safety regulations and standards. All equipment must be inspected by the Organizing Committee before being put into operation.

d. All engines, motors, and electrically operated machines must comply with fire and explosion regulations.

HAZARDOUS MATERIALS

a. Exposed electrical wires and electrical equipment are not allowed at the exhibition.

b. LPG and flammable gases are not permitted at the exhibition. All cylinders and inert gases must have valid safety certificates and be approved by the building before being transported and installed.

c. Radioactive substances are not allowed to be used except with the consent and certification of the Organizing Committee. Any radioactive substances used must strictly comply with the regulations of the relevant authorities.

Hot Work Demonstrations

No fire-generating devices may be used in the exhibition hall.

DESIGN REGULATIONS AND STAND BOUNDARIES

Booths must be carpeted or have flooring to clearly define the booth from the common area. Except for booths with four open sides, all other booths must have rear walls. Adjacent booths must also have side walls.

False ceilings are not permitted in any booth unless it is a two-story booth. However, slatted or mesh ceilings (which do not obstruct sprinklers in the event of a fire) are permitted.

Structural Height Restriction

The permitted stand height for a booth is 2.5 m (8.3 ft). Any design exceeding this height must be submitted to the Organizer at least 10 weeks before the build date for approval. If approved, the booth must be set 1 m (3.28 ft) inward from the adjacent booth. This rule also applies to booths hanging advertising banners or other materials from the ceiling.

Maximum stand height allowed: 4.5m – please check with the Organizing Committee if the location of your booth allows the height.

OPEN FRONTAGES

All stands in the exhibition, irrespective of height, must have at least half of any frontage facing an aisle left open or fitted with transparent (clear see-through) material. This area must be left visibly free of obstruction.

Building Material

All materials used in the stand construction must be fire retardant in accordance with local regulations.

Double Storey Stands

Double storey stands are applicable for contracted ground area of 60m2 and above (to be considered on a case-by-case basis).

For double storey stands, fire hydrants (each valve for an area of ​​12m2) or fire hydrant systems must be provided for the lower floor.

The design, construction and dismantling of double storey stands must comply with the guidelines, rules and regulations laid down by the relevant authorities, including the Organizing Committee and the venue owner.

Designs and layout plans of the double storey stand must be submitted to the Organizing Committee for approval at least 3 months prior to the exhibition.

Damage to Stand Structures and Exhibition Premises

No cutting, filing or drilling of the exhibition floor or walls is permitted under any circumstances. Exhibitors are also not allowed to use adhesive tape products that may leave marks or cause damage to the flooring, walls or wall coverings. The above also applies to Organiser’s Package booth structures and walls. Any such damage to stand service structures will be invoiced to the Exhibitor.

Official Contractors

a. The Organizing Committee has appointed official contractors for various services so as to ensure a more efficient and regulated build-up and dismantling. Please refer to the Useful Contact List in the Exhibitors’ Manual for details. Unless otherwise stated, Exhibitors may appoint their own stand fitting contractor subject to approval from the Organizing Committee. In this instance, exhibitors are responsible for making their own arrangements for services.

b. The services of the official contractors are for the convenience of Exhibitors, and the Organizing Committee will accept no liability in respect of any contract between Exhibitors and such contractors for the negligence or default of any such persons, their servants and agents.

c. Only the official freight forwarders may be appointed where temporary import of goods under exhibition permit or mechanical handling within the exhibition hall is required

Stand Fitting Contractor

In adherence to safety requirements, only the Organizing Committee’s official contractor may carry out electrical and pipe installations. Please refer to the building regulations below regarding booth construction:

a. Exhibitors may choose their own contractors for designs and construction with the consent of the Organizing Committee and the owner of the SECC building, District 7.

b. Detailed stand design drawing (elevations, layout plans and perspective views) must be submitted to the Organiser 3 months before the show. Booth layout diagrams and 2D perspective drawings must be submitted to the Organizing Committee for approval at least XNUMX months before the exhibition.

As per venue regulations, all approved contractors must pay a refundable deposit of USD 12/m² based on their contracted stand space to SECC. In addition, the contractor badge fee is USD 2 per tag, and a management fee of USD 6/m² based on the contracted space will also be collected by SECC. Exhibitors who undertake the construction of their own stands are also required to comply with these regulations. Overtime charges apply for work beyond the permitted hours.

These charges are to ensure that the regulations of the Organizing Committee (as stated in this exhibition handbook) and the SECC (Exhibition Rules and Regulations) are strictly complied with in the event of indirect or direct damage.

This is without prejudice to any additional claims the Organizing Committee or SECC may have against the contractor and/or exhibitor if damages exceed the deposit.

STORAGE

Direct arrangements should be made with an appointed official freight forwarder. Otherwise, exhibitors must arrange for their cartons and cases to be transported back to their own premises. Exhibitors are not allowed to store such items within the exhibition halls.

The Organizing Committee reserves the right to remove/dispose of any carton, cases and/or packing materials left in the exhibition halls. Any cost incurred will be borne by the exhibitor.

Stand Cleaning

During the exhibition days, the Organizing Committee is responsible for cleaning common areas such as standard booth carpets and walkway carpets. During the build-up and dismantling periods, exhibitors and/or appointed contractors are responsible for the removal of stand construction debris and rubbish on a daily basis. All aisles must be left clear.

SECURITY

a. General security will be provided by the Organizing Committee during event period. Exhibitors and their staff will not be allowed in the exhibition hall outside the official hall opening hours.

b. Security guards will patrol the exhibition hall in general, but their duties will not include specific attention to individual stands.

c. If your displays are valuable or sensitive and you wish to hire security personnel to attend to your stand exclusively, please contact our appointed agency for security services. Please note that exhibitor staff is not allowed to stay after the official opening hours.

d. For security and safety reasons, exhibit movement in or out of the halls during the show hours is not permitted.

e. All personnel in the exhibition halls must wear identification badges. Please refer to Form 11 for Exhibitor’s passes and Contractor’s passes as well as Security Procedures for the exhibition.

Regulatory Authorities

Where applicable, the above rules and regulations are additional to rules and directions set by the Regulatory Authorities. All exhibitors and their contractors must abide by the code of practices set by the relevant Regulatory Authorities.
